1. Overview

KinetiqFlow LLC ("KinetiqFlow," "we," "us") operates KinetiqBilling. This Privacy Policy explains what information we collect when you use the Service, how we use it, and the choices you have regarding that information.

2. Information we collect

We collect the following categories of information:

• Account information: Your name, business or organization name, and email address when you sign up.
• Organization and billing data: Customer records, quotes, invoices, payment records, and other business information you enter into the Service.
• Subscription payment information: Subscription payments for KinetiqBilling Pro are processed by Stripe. We receive confirmation of payment status and a Stripe customer/subscription identifier; we do not store full card numbers or raw banking details on our servers.
• Manual payment tracking data:If you use KinetiqBilling to record manual payments from your customers (ACH, wire, check, Zelle, Venmo, cash, etc.), that data is stored as part of your organization's billing records. KinetiqBilling is a record-keeping tool for these payments; we do not process or hold those funds.
• Usage and log data: Basic activity logs, browser/device type, and similar technical data used for security monitoring, debugging, and improving the Service.
• Cookies and similar technologies: We use session cookies and local storage to keep you signed in and maintain application state. We do not use third-party advertising cookies.

3. How we use information

We use the information we collect to:

• Provide, operate, and maintain the Service.
• Process subscription payments and manage billing for KinetiqBilling Pro.
• Send transactional emails on your behalf — such as quotes, invoices, payment reminders, and account statements — to your customers using the email addresses you provide.
• Enforce plan limits and feature access.
• Respond to support requests and communicate with you about your account.
• Monitor for security issues and improve the Service over time.

We do not sell your data to third parties or use your billing data for advertising purposes.

4. Data isolation

Each organization's customers, quotes, invoices, and payment records are isolated from other organizations using row-level security at the database level. We do not share one organization's billing data with another.

5. Service providers

We rely on the following third-party providers to operate the Service. Each processes data under their own privacy and security commitments:

• Supabase — database hosting and user authentication.
• Stripe — subscription payment processing for KinetiqBilling Pro.
• Resend — transactional email delivery (invoices, quotes, reminders sent on your behalf).

These providers are not authorized to use your data for purposes beyond delivering the services they provide to us.

6. Data retention

We retain your account and billing data for as long as your account is active. If you close your account, we will retain data for a reasonable period to support any final billing, legal, or regulatory obligations, after which it will be deleted or anonymized. You may request deletion of your account and associated data by contacting us at support@kinetiqflow.ai.

7. Your rights and choices

You may update your account information at any time from within the app. To request a copy of your data or to request deletion, contact us using the information below. We will respond to reasonable requests in a timely manner.

8. Security

We implement technical and organizational measures to protect your data, including encrypted connections, access controls, and row-level data isolation. No system is completely secure, and we cannot guarantee absolute security of your data.

9. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date at the top of this page. Continued use of the Service after changes take effect constitutes your acceptance of the revised policy.
